# Meetings

> Find, filter, and review every meeting booked across your workspace.

Meetings is your workspace's record of every booked meeting: upcoming, rescheduled, held,
and cancelled. It's a single list of the whole workspace's meetings that you filter and
inspect to find what you need.

  alongside your other Default apps (Tables, Routing, Workflows, Settings). Inside the
  Scheduling app, select **Meetings** to open the list.

## The meetings list

Meetings is one list, scoped to your whole workspace. Everyone who opens it sees the same
set of meetings; to narrow it to your own, apply the **Host** filter (see below) rather than
switching views.

The list is sorted with the most recent meetings first, and each row shows:

| Column                  | What it shows                                                                               |
| ----------------------- | ------------------------------------------------------------------------------------------- |
| **Meeting name**        | The title of the meeting.                                                                   |
| **Event name**          | The event that was booked.                                                                  |
| **Status**              | A colored badge: Booked, Rescheduled, Held, No show, or Canceled.                           |
| **Cancellation reason** | For cancelled meetings, the reason the guest gave when they cancelled (if they shared one). |
| **Host**                | The rep on the meeting.                                                                     |
| **Meeting start**       | When the meeting starts.                                                                    |
| **Booked**              | When the meeting was booked, relative to now.                                               |
| **Lead email**          | The invitee's email.                                                                        |
| **Location**            | The conferencing or location type.                                                          |

## Find a meeting by status

Use the status entries to slice the list down to one stage of the meeting lifecycle:

| Entry                    | What it shows                                |
| ------------------------ | -------------------------------------------- |
| **All meetings**         | Every meeting, regardless of status.         |
| **Scheduled meetings**   | Meetings that are booked and upcoming.       |
| **Rescheduled meetings** | Meetings that have been moved to a new time. |
| **Cancelled meetings**   | Meetings that were called off.               |

  **Held** and **No show** aren't their own entries. Those meetings appear in **All
  meetings** with their status badge, so check the All list to find them, or use the
  status filter in the [Calendar view](#calendar-view) to show only those statuses.

## Filter the list

Open the filters in the toolbar to narrow the list further. Combine filters to answer a
specific question, such as "my demo calls this week." The fields, in the order they appear:

| **Location**    | The conferencing or location type. | Pick from Google Meet, Microsoft Teams, Zoom, Zoom (Personal), In Person, Phone, or Other.             | **In Person** to find field meetings.                        |

  To see only your own meetings, set **Host** to yourself. There's no separate "my meetings"
  view; the Host filter is how you scope the list to a rep.

The toolbar also has a **Search meetings** box that matches across meeting title, guest
email, event name, and host name and email.

## Review a meeting

Select any row to open the meeting's details. The header shows the meeting title, its
status badge, the date and time (with timezone), the location, and, when the guest booked
from a different timezone than yours, their local time, and the body is split into sections:

* **Cancellation reason**: for cancelled meetings, the reason the guest shared.
* **Host**: the rep on the meeting, with their email.
* **Guests**: everyone else on the invite, including the person who booked and any
  additional attendees.
* **Description**: the event's description, if one is set.

While a meeting is Booked or Rescheduled, you can also act on it from the header:

| **Join meeting**    | Opens the meeting link, when the meeting has one.                                                                  |
| **Mark as no-show** | Flags the meeting as a no-show.                                                                                    |
| **Cancel meeting**  | Cancels the booking after a confirmation step. All participants are notified. Select **Keep meeting** to back out. |
| **Handoff**         | Coming soon. The button is shown but not yet available.                                                            |

<Note>
  Rescheduling isn't started from this list. When a meeting is moved to a new time it appears
  here with a **Rescheduled** status; the reschedule itself happens through the booking page
  or the calendar the meeting was booked with.

<Info>
  Cancelling from here doesn't ask for a reason. The **Cancellation reason** you see on
  cancelled meetings comes from guests: when a guest cancels through the link in their
  confirmation, they can share why, and that reason shows up in the list and the meeting's
  details.

## Calendar view

Alongside the list, Meetings has a calendar. Select **Calendar** at the top of the
**Meetings** group in the Scheduling sidebar to see your workspace's meetings laid out on a
time grid instead of rows.

The toolbar controls which period you're looking at:

* Switch the layout with the **Day**, **Week**, or **Month** tabs. The calendar opens in
  **Week**.
* Page through periods with the **Previous** and **Next** arrows, and jump back to the
  current period with **Today**.

Each meeting appears as a colored block; the color matches the meeting's status badge, so a
booked meeting, a reschedule, and a cancellation are distinguishable at a glance. Select a
block to open the same meeting details panel as the list, with the same actions.

Use the **Status** filter on the right of the toolbar to choose which statuses are shown.
It opens a **Show statuses** menu with a checkbox per status: **Booked**, **Rescheduled**,
**Held**, **No show**, and **Canceled**. Everything except **Canceled** is shown by
default; turn **Canceled** on to see cancelled meetings on the grid. When your selection
differs from the default, the filter button shows a count of the selected statuses.

The calendar stays current on its own: changes made outside Default, such as a guest
rescheduling, appear without a manual refresh. If a period contains more than 1,000
meetings, the calendar warns you that some meetings are hidden; switch to week or day view,
or select fewer statuses, to see a complete result.

## Meeting reminders

Meeting reminders are configured per event, not from this list. To set up or change the
reminders sent before a meeting, open the event under [Events](/events) and edit its
reminders. Rescheduling or cancelling a meeting updates its reminders automatically.
